Top 5 things to (re)consider when planning a team building event

Sometimes it seems that hardest part of planning a team, group, or company gathering is just picking an activity and choosing a date. Once you get over that hurdle, you're not close to done. Here's our top 5 things for you to think about…

1. Food. It seems obvious, but you should reconsider all the food & drink issues. Assuming you are not planning a catered event, there are three key questions you should ask yourself again: Am I serving the right thing (and are there any kinds of dietary restrictions)? How much do I need to prepare or pre-order? And how much can I get within my budget?

2. Transportation. We've met a handful of planners who've been satisfied telling their groups simply where to meet. Then the morning of the event, there's a flutter of last-minute 'where do we park' emails that fill the planners inboxes. It's best that you nip that in the bud early. We suggest that you give people the meeting place and time, parking options, and public transportation options. Be sure to tell them to be early so you can kickoff the festivities on time!

3. Setting expectations. Sounds like something the boss would say, but you should ponder what your guests are told beforehand so your evaluations are sky high. We're not saying to under promise and over deliver, but it might be wise to take some time to put yourself into their shoes and think about what you'd like to know beforehand.

4. Picking teams. When doing a game or hunt with us, we almost always recommend that we break up your teams. Not only do we have incredibly fun ways of doing that, but it means there is one less thing for you to worry about. If you do choose to team people up in advance, be sure to pay extra close attention towards the possibility that people may not show up on time (or at all) and that some teams may have 3 and others 6. Also be sure to have a few printed lists with who everyones teammates are - for you, the teams, and us.

5. You. It's way too easy to get all wrapped up in making sure everyone else is having fun that you forget about yourself. It may not seem that way now but, when you're in the thick of things, its hard to take a breather. When it's the day of your game or hunt, take a moment to soak in the fact that we'll take care of your group from the moment we say hello and well past the ending awards ceremony.
